EtchMind Docs

A practical guide to every tab, feature, and normal workflow in EtchMind. Start here if you want to know what a button is for, how daily study works, how Obsidian sync behaves, or how to build a Study Plan.

Quick Start

EtchMind has one main loop: add things you want to learn, let Study decide what comes next, save the useful parts while reading or watching, then review cards before you forget them.

  1. Add material. Use Add for PDFs, EPUBs, articles, web pages, audio, video, Markdown, Obsidian vaults, YouTube/Vimeo links, Anki decks, quick cards, and image occlusion.
  2. Press Start studying. The Study tab mixes reading topics and flashcards from the unified queue.
  3. When a source opens, read or watch a small useful piece. Extract the important part, make a card, or just press Next when you have studied enough for now.
  4. When a card appears, answer from memory. Show the answer, then grade Again, Hard, Good, or Easy.
  5. Use the Tools menu when you need control. Queue changes priority and timing, Weak Areas finds trouble spots, Stats shows progress, and Decks controls subject mix.
The simple rule: you do not need to finish one book, video, note, or article before starting another. EtchMind remembers the exact source, topic, timestamp, page, extract, or manual reading endpoint and brings it back later.
EtchMind is early launch software. Before big imports, major reorganization, or app updates, make or confirm a backup. EtchMind includes backup and export tools, but local-first means you control the only copy.

Current Release And Beta

The stable channel is the default channel for most users. The beta channel is where newer workflows are tested first, especially when they touch new source types, AI-assisted tools, scheduling recommendations, or collection safety.

Stable 1.1.18

Stable includes safer migrations, backup and restore handling, more reliable review history, better Markdown links and extraction, predictable Study priorities, and consistent reading appearance controls across readers and reviews.

Beta 1.1.18

The beta channel currently matches Stable 1.1.18 while the next opt-in beta is prepared. The separate Stream Deck plugin remains a public beta.

Trying beta: open Settings → License & Updates and choose the beta update channel. Keep backups before switching channels, especially if you use one collection every day.

Using EtchMind Offline

EtchMind is local-first. Your collection database, imported media, review history, cards, settings, and backups stay on storage you control. Normal Study, review, editing, search, scheduling, local PDF/EPUB/Markdown/Obsidian work, local audio/video readers, import/export, and the installed Stream Deck bridge work without an internet connection.

Internet is required for

  • Purchasing, downloading, and initially activating a paid license.
  • Checking for, downloading, and installing app updates.
  • Fetching URL/article content and YouTube or Vimeo metadata and playback.
  • Optional OpenRouter OCR and card-quality checks that you explicitly start.

After activation

  • The app attempts a lightweight license validation no more than once every seven days when online.
  • A network failure or staying offline does not lock an activated installation.
  • If an Annual plan lapses, the activated app remains usable; delivery of new updates stops.
  • An offline update check fails quietly and leaves the installed version working.

URL/article imports need internet for the initial fetch. Saved text and HTML are local, but remote images, embeds, and links may still need their original sites. YouTube and Vimeo are streams, not offline video downloads. Optional OpenRouter tools require your own API key and send only the image/region or card content you choose to the selected model provider; provider availability, cost, retention, and privacy terms apply. Normal reading and study do not depend on an external AI service.

Keep separate, tested backups. EtchMind has no cloud account or cloud recovery for your collection. If the computer and every backup are lost, EtchMind cannot restore data it never received.

Study

Study is the main tab. It shows what is due, your daily limits, weak-area nudges, a review calendar, and the button that starts the focused session.

When Study shows a topic

A topic means EtchMind wants you to read, watch, or inspect a piece of source material.

  • Next rep schedules it to come back after the shown interval.
  • Skip hides it briefly and shows something else.
  • Mark done removes it from future study.
  • Next & Priority changes its next due date and importance.
  • New card creates a recall card from the current idea.

When Study shows a card

A card means EtchMind wants active recall.

  • Show answer reveals the back or hidden part.
  • Again means you missed it.
  • Hard means you remembered with effort.
  • Good means you remembered normally.
  • Easy means it was immediate.
  • Bury hides the card until tomorrow without grading it.

Daily Targets And Study Ahead

Daily targets keep the workload humane. You can set limits for topics, total cards, and new cards. If the target is reached but you still want more, use Study ahead. That pulls upcoming work forward for today and pauses auto-balancing until the next study day.

Load Balancing

Load balancing spreads overdue backlog across upcoming days. Use Pack if you want a tighter catch-up schedule, or Spread if you want gentler distribution. This is separate from Study Plans: daily targets manage workload; Study Plans manage what kind of work you want in a session.

Scheduling Terms In Plain English

EtchMind schedules two different things: topics, which are pieces of material to read or watch again, and cards, which are memory prompts you answer from recall. They share one Study queue, but they use different rules.

A-Factor

A-Factor belongs to topics. It controls how quickly a topic's next interval grows when you press Next rep. A higher A-Factor means "bring this back later next time." A lower A-Factor means "bring this back sooner because it still needs attention."

FSRS

FSRS belongs to cards. It uses your Again, Hard, Good, and Easy grades to estimate when a card is likely to be forgotten, then schedules it before that point. You do not need to tune it to start: honest grades are the important part.

Priority

Priority decides what competes harder for your attention. High-priority material rises sooner when several things are available. Low-priority material still exists, but it is easier for more important work to appear first.

Due

Due means "ready to appear again." A topic can be due for another reading step. A card can be due for memory review. Changing a due date changes timing, not the content.

Plain rule: do not worry about the math at first. Use Study, grade cards honestly, press Next when a topic has had enough attention, and only open Queue or Settings when something feels too soon, too late, too important, or not important enough.

Study Plans

Study Plans are optional session recipes. The normal Start studying button uses the whole queue. A Study Plan lets you say, for example, "spend 70% on my exam deck, 20% on a course, and 10% on old reviews" or "do 20 minutes of one source, then 10 minutes of cards."

Plan Modes

  • Percentage mix: EtchMind rotates between targets by share. A 70/30 plan serves the first target about twice as often as a 35/15 plan.
  • Time blocks: EtchMind works through blocks in order, using each block's minute cap as the main stopping point.

Plan Targets

  • Autopilot: everything due in the normal queue.
  • Deck: one subject bucket.
  • Source: one imported PDF, book, article, audio, or video.
  • Course / topic: one part of the Contents tree.
  • Cards only: recall without reading topics.
  • Topics only: reading/watching without flashcards.

How To Build A Study Plan

  1. Open Study, then expand Study plans.
  2. Choose Percentage mix or Time blocks.
  3. Add one or more targets: Autopilot, Deck, Source, Course/topic, Cards only, or Topics only.
  4. Set each target's Share or Minutes.
  5. Optionally set Stop after for a card/topic cap and Minute cap for a time cap.
  6. For source/topic targets, choose order: Queue, In order, or Shuffle.
  7. Turn on Pomodoro if you want focus and break timers.
  8. Press Start Study Plan. Press Save current if you want to reuse it.

Default Plan

Saved plans can be marked as the default. Then Start studying applies that plan automatically.

Exam Plan Example

60% exam deck, 25% weak tags via Cards only, 15% newest source. Add a card cap so the session ends cleanly.

Course Plan Example

40 minutes Source in order, 20 minutes Cards only, Pomodoro 25/5. Good for working through lectures.

Add

Add is where material enters EtchMind. It can import a whole folder, add one source, connect an Obsidian vault, or create standalone cards.

Auto-import A Folder

Drop a folder or files, or use Choose folder / Choose files. EtchMind detects supported files, preserves folder structure, skips duplicates, and can tag everything imported.

Add A Source

Add articles, web pages, YouTube/Vimeo links, Anki decks, PDFs, EPUBs, audio, video, Markdown, saved HTML, and optional structured text.

Create A Card

Make a quick standalone card or image occlusion card without importing a source first.

Beta: Image And OCR

Beta builds are testing image sources, OCR-assisted extraction, and image-region review so visual material can become study material more directly.

Supported Source Workflows

  • PDF: import a PDF, read pages, select text, extract regions, and make cards.
  • EPUB / book: imports as a readable source with chapter navigation where available.
  • Article / web page: import by URL, HTML file, or clipboard paste.
  • YouTube / Vimeo: paste a link and study it like a video source; internet is needed for playback.
  • Local video: import a video file for offline study and timestamp extracts.
  • Audio: import podcasts, lectures, or audiobooks and extract timestamped moments.
  • Markdown: import notes or Obsidian-style markdown for incremental reading.
  • Images: use screenshots, diagrams, and visual material for image occlusion today; beta builds are expanding image-source and OCR workflows.
  • Connected Obsidian vaults: watch one or more vault folders, preview what will import, sync tagged or all notes, keep folder structure, parse supported flashcard syntax, and reopen the original Obsidian note from EtchMind.
  • Anki: import .apkg or .colpkg decks, preserving cloze cards, media, tags, and optional Anki scheduling.
  • Structured text: an advanced import path for pasted notes or logs when enabled.

Contents

Contents is your whole collection as a tree. It is where sources, extracted topics, folders, concepts, and cards live together.

Tree View

  • Browse folders, concepts, source roots, extracts, and cards.
  • Search contents with the search box or Ctrl+F.
  • Open a source in its reader.
  • Open linked Obsidian notes back in Obsidian when a synced note or card came from a vault.
  • Add flashcards or sub-topics under a selected node.
  • Drag nodes to reorganize them.
  • Right-click for actions like drill section, set section priority, and delete.

Cards View

  • Create a new card.
  • Filter cards by tag.
  • Sort by newest, due soonest, or A to Z.
  • Edit card content without changing its review schedule.
  • Reschedule due date or delete selected cards.
Undo: structural edits such as imports, deletes, moves, and creates can be undone with Ctrl+Z shortly after the action.

Readers

Readers are opened from Study or Contents. Each medium has its own reader, but the goal is the same: study a useful piece, extract what matters, and return to the queue.

Text Readers

Articles, saved web pages, books, and Markdown support reading, heading/chapter navigation, selected-text extraction, and card creation.

PDF Reader

Study pages, select text, jump to extracted regions, adjust zoom, and create image occlusion from a page.

Media Readers

Local video, YouTube/Vimeo streams, and audio support playback controls, timestamp extracts, editable ranges, and one-click return to the exact moment.

Reading Endpoints And Source Links

A reader saves your normal position automatically, but you can also mark a deliberate return point. In PDF, article, book, Markdown, video, stream, and audio readers, Set endpoint marks the exact page, passage, scroll position, or timestamp you want to return to; Go endpoint jumps back there.

  1. Press m or use Set when you reach the page, passage, or timestamp you want EtchMind to bring back.
  2. Press g or use Go to jump back to that endpoint later.
  3. Create extracts or cards from the reader. They keep locators back to the source context.
  4. When you fail a card, use its source link to reopen the original page, passage, region, note, or timestamp.

Queue

Queue is the manual control room for what Study serves. Most people do not need it every day, but it is useful when you want to clean up, reprioritize, or inspect the schedule.

Views

  • All: topics and cards together in the same order Study uses.
  • Topics: reading/watching items only, with priority sliders and topic editing.
  • Cards: flashcards only, sorted by due or creation date.
  • Active / Suspended / Done: switch between what is in rotation, hidden, or completed.

Common Actions

  • Search by title, content, or source.
  • Change priority with the slider or priority menu.
  • Change the next due date.
  • Suspend or reactivate topics and cards.
  • Move selected topics into a deck.
  • Create a freeform topic or new flashcard.

Cards

Cards are recall prompts. They can be created from a reader, from Add, from Queue, or from the Contents Cards view. Text cards use the same Markdown and math renderer, so formulas, formatting, pasted images, audio, and explanation notes can all live inside the card.

Card fields can include tags, deck assignment, optional audio, and an optional Why / reasoning note that appears after reveal. Tags matter: Weak Areas uses real review grades grouped by tag, so a card tagged "exam" and "renal" teaches both areas how well you remember it.

Beta: Card checker helps spot cards that may be too vague, too broad, or hard to grade before they become long-term review problems.

Card Editor Power Features

  • Ctrl+Enter saves the card.
  • Esc cancels the editor.
  • Tab moves from front to back in Q/A and type-answer cards.
  • Paste or drop images inserts a portable Markdown image token.
  • Drop audio attaches a front or back clip.
  • Live / Source switches between rendered editing and the underlying Markdown.
  • Preview shows how Markdown, math, images, audio, and cloze deletions will render.

Where Cards Come From

  • Readers: press c to make a card from the current selection, page, timestamp, or extract.
  • Add: make a quick standalone card or image occlusion card.
  • Study: make a card while a topic is open.
  • Contents: add a card under a source, topic, folder, or concept.
  • Anki import: bring in .apkg or .colpkg decks with media, tags, cloze cards, and optional scheduling.

Markdown And Math

EtchMind uses Markdown for readable card and topic text, and KaTeX for formulas. You do not need to know HTML: type normal text, add light Markdown when useful, and wrap formulas in dollar signs.

  • Cloze passages, including hidden text.
  • Multiple-choice and true/false prompts.
  • Type-answer prompts and answers.
  • Custom template fields and rendered templates.
  • The Why / reasoning field.
  • Topic bodies in Contents and reader-less Study topics.
  • Imported Markdown sources and their extracts.

What To Type

  • **bold**, *italic*, headings, lists, links, quotes, code, and tables.
  • $x^2 + y^2 = r^2$ for inline math.
  • $$E = mc^2$$ for display math on its own line.
  • ![](media:images/file.png) for collection images inserted by paste or drop.
  • {{c1::hidden answer}} for cloze deletions.

Markdown Source Workflow

  1. Import a .md file from Add, or create/edit Markdown text in a card, note, or topic.
  2. Use Live for rendered editing or Source when you want to edit the Markdown syntax directly.
  3. In a Markdown reader, navigate by heading and select useful text to create an extract, card, or cloze while keeping a link to the source.
  4. Adjust the reading font, heading style, width, size, and line spacing from the reader or Markdown settings.

Formula Card Workflow

  1. Create a Basic Q/A, Cloze, Type answer, or Custom template card.
  2. Put the formula in the field using $...$ or $$...$$.
  3. Add a short Why note if the formula needs meaning, units, or a derivation reminder.
  4. Use Preview before saving to confirm formatting.
  5. Review normally: answer first, reveal, then grade Again, Hard, Good, or Easy.
Important detail: Markdown source files import as readable sources. The full math engine is used for card text and editable topic bodies, so formulas you put into cards, cloze passages, Why notes, topic bodies, or Markdown sources render as math during study.

RTL And Mixed-Language Text

EtchMind automatically detects the writing direction of normal prose. Arabic, Hebrew, Persian, Urdu, and other right-to-left text can be written and reviewed naturally across cards, notes, topic and extract bodies, readers, Contents, and review screens.

Automatic Direction

  • Each paragraph follows its first strong letter, so RTL and LTR paragraphs can live in the same field.
  • Numbers, formulas, code blocks, tables, and Markdown syntax keep their expected layout.
  • Mixed-language questions and answers keep punctuation and embedded English terms readable.

Editor Preference

  • Open Settings > Markdown editor to choose automatic, left-to-right, or right-to-left direction for new editors.
  • Automatic is recommended when a collection contains more than one language.
  • The preference changes editing direction; saved study content remains portable Markdown.

Hidden Features People Miss

These are not hidden on purpose, but they are easy to overlook because they only appear in the right context.

Review Controls

  • Space reveals a card.
  • 1 / 2 / 3 / 4 grades Again, Hard, Good, Easy after reveal.
  • b buries a card until tomorrow without grading it.
  • e edits the current card content without changing its schedule.
  • z undoes the last grade, bury, or topic repetition.
  • p opens Next & Priority for a topic.

Linked Source Memory

  • Cards made from readers keep a source link.
  • PDF cards can remember a page or region.
  • Video and audio cards can remember a timestamp.
  • Article, book, and Markdown cards can remember the selected passage or topic.
  • Use the source link when you fail a card and need the original context.

Reader Shortcuts

  • e extracts the current selection or range.
  • c makes a card from the current place.
  • b bookmarks a page or reading position where supported.
  • t toggles the contents panel in text readers.
  • + and - adjust font or playback speed depending on the reader.
  • Change shortcuts in Settings → Shortcuts.

Video And Audio Ranges

  • Mark start or e starts a range; press e again to close it and extract.
  • i and o are explicit in/out keys for range start and end.
  • c creates a card at the current moment.
  • Set or m marks the reading endpoint; Go or g jumps back to it.
  • Drag a saved range on the timeline to move it, drag its edges to trim it, or use Edit times for exact start/end values.
  • Local video supports frame stepping with comma and period.
  • Audio uses 10-second jumps; video uses shorter jumps.

Smart Card Cleanup

  • Repeated misses can auto-suspend a hard card so it stops wasting reviews.
  • The rewrite prompt lets you fix the card and reactivate it.
  • Weak Areas lists the weakest tags and leeches.
  • Drill practice is read-only; it never poisons FSRS history.
  • Sibling burying can hide near-duplicate cards from the same extract until tomorrow.

Organization Extras

  • Ctrl+F searches Contents.
  • Right-click Contents nodes for section actions.
  • Drag topics and cards onto other topics to reorganize them.
  • Ctrl+Z can undo recent structural edits like move, delete, create, and import.
  • Deck weights and per-deck new-card caps control subject mix.

Weak Areas

Weak Areas uses real review grades to show what you are struggling with. Drilling is read-only: it helps practice, but it does not write review history or change schedules.

Per-tag Recall

Tags are ranked weakest first. Use Drill on a tag or Drill my weak areas to practice the lowest-recall cards.

Repeated Misses

Cards with many lapses show up for rewriting. The best fix is often a clearer prompt, smaller card, or split into multiple cards.

Beta: Weak Points

Beta builds are expanding weak-point views so repeated misses, weak tags, and cards that need cleanup are easier to find.

Beta: Retention Recommendations

CMRR-style recommendations use review history to suggest a target retention setting, while keeping the final change under your control.

Stats And Decks

Stats

Stats has 7-day, 30-day, 90-day, and 1-year views. It shows review count, average per day, retention, best day, streak, collection size, answer breakdown, review volume, retention by week, due forecast, memory strength, and hardest cards.

Decks

Decks are attention buckets. Turn on deck mixing, set each deck's weight, mute decks with weight 0, choose a default deck, and set per-deck new-card limits.

Settings

Settings is split into focused panels.

Appearance

Theme, UI scale, content size, and accent color.

Shortcuts

View and change keyboard controls by area, or open the Stream Deck public beta setup guide.

PDF Reader

Default fit, zoom, and PDF viewing behavior.

Algorithm

FSRS target retention, maximum interval, fuzzing, short-term scheduling, optimizer, expert parameters, and beta retention recommendations.

Review Behavior

Auto-reveal, break reminders, sibling burying, card stats, progress counter, and review button layout.

Load Balancing

Daily card/topic/new-card caps, backlog spreading, and study-day start time.

Review Diagnostics

Repeated-miss threshold and weak-area behavior.

Incremental Reading

Topic scheduling and A-Factor growth behavior.

Obsidian

Connected vaults, watched sync, topic tags, include/ignore folders, card syntax, preview, pause, re-root, and sync now.

Common Workflows

Daily Study

  1. Open Study.
  2. Press Start studying or Start Study Plan.
  3. For topics: read/watch a small useful piece, extract or make cards, then press Next.
  4. For cards: answer, reveal, grade honestly.
  5. Stop when the queue says target reached or when your plan is complete.

Connect An Obsidian Vault

  1. Open Add and choose Connect Obsidian vault, or open Settings → Obsidian.
  2. Add or auto-detect a vault folder.
  3. Choose whether topics come from all notes or only notes with your tracking tags.
  4. Use include and ignore folders to keep templates, archives, or daily-note clutter out of the queue.
  5. Preview the vault, then press Sync now. EtchMind keeps watching active vaults and updates synced notes/cards after changes.

Import A Course

  1. Put PDFs, videos, audio, EPUBs, and notes in one folder.
  2. Open Add and drop the folder into Auto-import.
  3. Tag everything with the course name.
  4. Open Contents to confirm the structure.
  5. Create a Study Plan targeting that course/topic or deck.

Prepare For An Exam

  1. Create or choose an exam deck.
  2. Use Decks to give the exam deck a high target mix.
  3. Use Study Plans for a focused split, such as 70% exam deck and 30% weak areas/cards.
  4. Use Stats to watch retention and due forecast.
  5. Use Weak Areas to rewrite repeated misses before adding more material.

Move To A New Computer

  1. On the old computer, go to Settings → Export & Import and export your collection zip.
  2. Copy the zip to the new computer.
  3. Install EtchMind and import the zip from Settings.
  4. If local video files moved, use Settings → Video to add folders and re-link videos.
  5. Activate your license if needed.

Glossary

Source
An imported thing: PDF, article, book, video, audio, Markdown file, web page, stream, or structured text.
Topic / extract
A studyable piece of a source. It may point to a page, heading, timestamp, region, or selected passage.
Reading endpoint
A manual return point inside a source. Set it when you want EtchMind to reopen a specific page, passage, scroll position, or timestamp later.
Source link / locator
The saved pointer from a topic or card back to its original page, region, passage, note, or timestamp.
Obsidian vault
A local folder of Markdown notes that EtchMind can watch, preview, and sync into the study queue.
Card
A recall item graded with Again, Hard, Good, or Easy.
Queue
The ordered stream of topics and cards EtchMind serves in Study.
Priority
How important something is compared with the rest of the queue.
Due
The time when something is ready to come back.
A-Factor
For topics, how quickly the interval grows each time you press Next.
FSRS
The spaced-repetition algorithm EtchMind uses for card scheduling.
Deck
